Candidate consent

This article explains how candidate consent works in JOIN and what it means for your recruitment process and your data protection compliance. Available on desktop only.

Candidate consent is required to ensure compliance with GDPR and similar data protection regulations. JOIN automates the consent request process for manually imported candidates and tracks their status to ensure that recruiters only interact with candidates who have explicitly agreed to the processing of their data.

JOIN checks for duplicate candidates based on email address. If a manually imported candidate already exists for the same Job, a validation error is displayed. If they then apply directly, their manual application is deleted in favour of the direct application.


Where to see the consent status

The consent status appears on the candidate's card and in the candidate profile. You can also see a dedicated GDPR status column in the applications table.

If consent is still pending, the profile shows Consent requested. Once the candidate has responded, the status is updated to Consent given or Consent declined.


Managing candidate data

Candidates have the right to withdraw their application or delete their application at any time. In this case, JOIN will automatically and permanently delete all their data from your account, in accordance with GDPR regulations.

Deleting an application

As a recruiter, you can delete a candidate's application to a specific Job. If a candidate has applied to several Jobs at your company, deleting their application to one Job does not delete their entire profile, only their application to that particular Job.

  1. Go to the Applications sub-tab of the relevant Job

  2. Check the box next to the candidate(s) whose application you want to delete

  3. Click the More options menu at the bottom of the screen

  4. Select Delete applications

Deleting a candidate

You can also permanently delete a candidate's entire profile from your account. This will delete all applications sent by this candidate across different Jobs.

  1. Open the candidate's profile

  2. Click the ...More menu at the top right

  3. Select Delete candidate

This action is permanent and will delete the candidate's profile as well as all associated applications.

Deletion or withdrawal initiated by the candidate

Candidates can withdraw their application to a Job or delete their JOIN profile. If either of these occurs, JOIN automatically deletes all the relevant data from your account and informs you. If you have stored this candidate's data outside of JOIN, it is your responsibility to ensure its deletion in accordance with your local data protection regulations.

When applying, candidates see JOIN's Privacy Policy and Terms and must accept them. JOIN automatically manages consent for candidates who apply directly via a job posting on the JOIN platform or via partner Job boards.
