Why is this important?

Before using Smart Planner technology, you need to configure the rules that will enable it to generate a schedule in line with your reality. This enables Smart Planner to adjust to your preferences and create a customized schedule that meets your specific needs.


How do I configure Smart Planner?

1. Configure rules

2. Choose a schedule base

Once the rules have been defined, you need to choose which of the 3 possible bases Smart Planner will use:

  • A previous week

  • A saved template

  • Assign unassigned shifts


Use Smart Planner on the basis of a previous week

The selected week will be used as the basis for assigning your employees to the most relevant shifts.

  • Select a week from your 5 previous weeks on the schedule.

  • Choose to include some or all positions and some or all employees in the schedule.


Use on the basis of a saved template

Use the selected template as a basis for assigning your employees to the most relevant shifts.

  • Select the template of your choice from those you have already created.

  • Choose whether to include some or all positions and some or all employees in the schedule.

If you don't have any templates saved, this option cannot be selected.

Good to know: What's the difference between creating a schedule week from a template and using Smart Planner on the basis of a saved template?

  • A template allows you to create a schedule model that you can duplicate identically over several weeks for all or some of your employees.

  • Smart Planner adjusts to your pre-defined preferences and adapts to each situation to generate your personalized schedule.


Using Smart Planner on unassigned shifts

By choosing this schedule basis, Smart Planner will automatically assign your remaining unassigned shifts to your employees.

  • Select any or all positions and any or all employees to include in the schedule.

If your schedule contains no unassigned shifts, this option cannot be selected. Either your schedule is already full (congratulations!), or the unassigned shifts feature has not yet been activated.


How do I launch Smart Planner?

All set, click on “Launch Smart Planner” to generate your schedule.

  • Success rate: This tells you how complete your schedule is. Some shifts may remain unassigned because some of your previously defined Smart Planner rules did not allow the technology to assign all shifts to your employees.

Don't worry, you can always change these rules or choose a different schedule basis.

Tip: Assignment is no longer manual, but you still have the power to make adjustments to your schedule.
