How to set up employee access to different locations within an organisation

This article shows how to set up employee access to an organization's various networks and establishments.


How to define the establishments where the employee works?

Enter the main establishment

The main establishment is used for payroll purposes, and is generally where the employee works most.

  • When adding an employee: Set default establishment.

  • Modification: Menu Employees > Employee file > Personal information > Access to establishments. Modify by clicking on the arrow to the right of the establishment.

If the employee works at more than one establishment, he/she will only appear on the report for the main establishment.

Access to other establishments: Add secondary establishments to the employee's file to allow access without changing the main establishment.

To enter secondary establishments:

  • Menu: Employees > Employee file > Personal information > Access to establishments.

  • Add: Use the drop-down menu to add secondary establishments where the employee can access schedules and be made available.


How to customize establishment access?

Permission levels

  • Define permissions next to each establishment (primary or secondary). Permissions may vary (standard employee, advanced read-only, advanced master).

Display employee on schedule

  • Display choice: Enable or disable display of the employee on the establishment's schedule.

  • Impact: If enabled, the employee can work shifts. If disabled, he/she does not work in the establishment, but can consult or create schedules if he/she is a manager.

The employee continues to appear as long as he/she has shifts on the schedule.

Assign employee to teams

  • Assignment to one or more teams: Useful for defining data access, creating team rotations or filtering the view of employees on the schedule.
