How to use templates to facilitate your scheduling

Before creating a template you need a schedule which you will save to duplicate it over the weeks.

Create and use a template

Create a template

To create a template > head to the Schedule tab**> Day or Week View**

  • Go to a week or day already planned

  • Click on the three dots at the top right of the schedule and close by to the button “Publish schedule” to select "Save as template " from the drop-down menu.

⚠️ You are free to name the template as you wish. Once it’s saved, the name of the template can’t be altered.

💡 You can create a template with a filtered view of the schedule (by team, position, employee or absence). Only filtered shifts will be saved in the template.

Using a template

Now that the template is saved you can either use it for one week or multiple weeks.

  • Go to a blank week on which you wish to apply your schedule

  • Click on the three dots to the right of the schedule (close to the Publish schedule button) and select : Create from template

It is possible to :

  • Create a schedule from a saved template, as explained above.

  • Create a schedule from a previous week: the previous five weeks can be duplicated on the current week.

Once you have chosen the saved template or the previous week you can select the employees for whom you wish to apply the template on your schedule.

A template can be applied to the schedule of one or more teams or only for selected employees.

  • For a single employee: uncheck All, and select the employee concerned.

  • For a team: uncheck All and select the team.

⚠️ If you choose to apply the template for some employees only, the schedule of the employees not concerned will not be modified.

You can also choose to apply the template over several weeks. You can duplicate it up to 10 weeks in the future.

💡 If the template is used on an already made schedule you can choose to keep the shifts already planned, or to replace them with those of the template.

💡 If the template has been saved with employees that no longer work within your organization and are archived on Skello, the shifts of those employees will be :

  • added to the unassigned shifts at the top of the schedule if the unassigned shifts are active on the schedule

  • removed from the schedule if unassigned shifts are not active on the schedule

Deleting an existing template

To delete a template head to the three dots on the right of the schedule. Click on Create from a template > select the template to delete > click on the bin to the right of the template name.

⚠️ This action is irreversible, you will not be able to recover the deleted template.
