How to publish a schedule?
Accessing schedule publication
Once the schedule for a week has been finalized, it must be published for employees to consult.
The schedule is published from the Planning tab > Week or Month > Publish Schedule.
The schedule can be published by week or by month. It is not possible to publish a schedule for a single day.
Note: When the schedule is fully published for all employees, the button displays "Schedule shared". If the schedule is published only for some employees, it shows "Partially Published". The schedule remains "partially" until all employees have a shift or a planned absence, and the schedule is published to all visible employees.
Publishing options available
Several options are available:
Choose the employees to whom the schedule will be published
Select the employees who will have access to the schedule from their employee profile:All employees
Employees in a specific team
Selected employees
Publish the schedule by e-mail:
If the employee's e-mail address is entered in his/her profile, he/she will receive an e-mail informing him/her that the weekly schedule has been published. He/she can download the schedule in PDF format and/or log in to his/her Skello space to consult it.
It is also possible to add a note when the schedule is published by e-mail.
Notify employee on mobile application:
This option is checked by default. When the schedule is published, the employee is notified on his/her mobile application if he/she has installed it.
Publish schedule by SMS:
If the employee's phone number is entered in his/her file, he/she will receive an SMS informing him/her that the schedule has been published and encouraging him/her to connect to his/her application to consult it.
If the employee has used the Skello app in the last 30 days, the publication will be sent only via the app. Otherwise, the content of the schedule will be included in the SMS.
How do I re-publish a modified schedule?
If the schedule has not been updated, the Publish schedule button is grayed out to indicate that it has already been published.
If the schedule has not been published to all employees, the Publish schedule button displays the number of employees to whom the schedule has already been published, but remains accessible. You can click on it again to continue publishing the schedule to other employees.
If the schedule has been modified since it was first published, the Publish schedule button turns blue again, allowing you to re-publish it. You can choose to re-publish the schedule to employees affected by the changes only.
Once the schedule has been published to employees, it is not possible to remove their access to the schedule. They will be able to consult the schedule even if it is not re-published.
