This article explains how to plan a shift of absence, weather it’s exceptional or over long periods

How to create an absences shift?

  1. Access the schedule:

    • Go to the Schedule tab in day or week view.

  2. Add a shift:

    • Day view: Click on the + and move the mouse over the desired shift to open the add window. Drag the mouse to define the duration of the shift.

    • Week view: Click on Add a shift by moving the mouse over the employee's box and the desired day. The Add Shift window opens to create a shift. Click on the Absence tab at top left to create an absence shift.

Select the type of absence

  • Select the type of absence:

    • Click on the arrow to open the drop-down menu and select the type of absence.
      Use the search bar to quickly find the type of absence.
      Click on View absence types to display all available options.

Only absences activated in the establishment settings appear in the list.

Define absence duration

Three formats are available: all day, half day or customize.

  • All day: Defined according to the employee's weekly contractual hours.

  • Half-day: A typical day divided by 2.

  • Customize: Define start and end times for greater precision.

Values must be entered as decimals: 1h30 = 1.5, 1h15 = 1.25.

Add a note visible to the employee from his or her schedule. It is visible on the employee's individual timesheet, but not when the schedule is printed.


How do I schedule a period of absence?

  1. Use the Requests function:

    • Go to the Initials > Absences > Team requests tab.

  2. Add a request:

    • Click on Add a request in the top right-hand corner.

    • Select the employee, the type of absence, and the start and end dates.

  3. Validate request:

    • The request is waiting to be accepted or rejected.

    • Accept request to schedule absences automatically.

Shifts already scheduled during the period of absences remain on the schedule. They must be removed or moved to unassigned shifts if this option is enabled.
