How to set up hour trackers and compensation for working hours

This article explains how to set up the hour tracker in your Skello so that you can manage overtime.

Activating the hour tracker

Finding the hour tracker on Skello

To access and activate this functionality head to the Location Settings ⚙️ > Trackers Click on the first button “Activate Modulation for overtime”

Activating this functionality enables overtime compensation to be applied to all employees of the location on standard contracts, with a defined volume of hours worked per week.

Overtime is calculated from Monday to Sunday, on the basis of the hours set out in the employee's contract. If he works more or less hours than his weekly contract hours, the hours are added to or deducted from the balance indicated in the employee's tracker.

The overtime accumulated in the counter is thus adjusted from week to week, depending on the employee's attendance or absence.

⚠️ Employees on a day rate or temporary contracts are not affected by overtime compensation.

💡 When overtime compensation is activated, a day tracker is available for employees on day rate contracts.

💡The employee's tracker can be modified or reset to zero 👉 Modify and reset trackers from the report tab.

💡When a new employee is created, his or her hour tracker is automatically activated on the Sunday before the contract start date.

⚠️ If the employee has no contract or a contract with no start date, his/her tracker is not automatically initialized. In this case, you will need to manually select the tracker start date in the employee's file.


Setting up the hour trackers

When overtime compensation is activated, a window opens to set up the hour trackers.

Activate premium pay

When this option is activated, overtime will be calculated based on your collective agreement.

This option (not compulsory) allows overtime to be converted into time off in lieu.

When this option is activated, overtime is multiplied by the rate stipulated in the establishment's collective agreement.

💡 Premium pay can be activated when the trackers are already running.

Initializing the hour tracker

When you start using Skello, you should select the Sunday preceding the first week of use as the start date of the hour tracker. From the following day onwards, work and absences are taken into account in the tracker.

💡 The initialization date is always a Sunday, as Skello records hours worked during a full week.

⚠️ You can change the start date of an employee's tracker directly from the employee file. To do this, go to the employee file > History / Counters > Hour tracker.

Resume tracker history

If your employee has accumulated more or fewer hours than stipulated in their contract, activate "resume history" to enter their balance of hours.

When this option is checked, a balance must be entered for each employee in the box opposite his name. Use the "+" and "-" buttons to enter a positive or negative balance.

⚠️ No box should be empty. If the employee has a balance that is zero (no + or - hours), a 0 must be entered in the box opposite his name to validate the operation.

⚠️ Remaining hours must be converted to a decimal value before being entered here.

Ex: 4h30 = 4.5 / 1h15 = 1.25

Once you’ve filled in the tracker history, click on the Submit button to activate overtime compensation in the facility.

⚠️ Once overtime compensation has been activated, it is not advisable to deactivate this feature. When the feature is deactivated, the hours filled in the tracker as a history are erased.
