This article explains how to use the different views of the schedule depending on your schedule needs.

Why is this important?

Skello's different schedule views enable you to manage your employees' schedules efficiently, according to their positions and the establishment's needs.


How do I use the week views?

From the Schedule tab in “Week” view, you have access to two different views: the Employee view and the Position view.

Week view by employee

The week view by employee is the default view. It allows you to create and view the schedule by employee.

Contents :

  • Left column: employee surnames/first names and contract type (hourly volume, extra, daily rate contract, minor).

  • Center of screen: employees' weekly schedules, with the option of creating/duplicating/moving/editing shifts. Find out more about creating shifts.

  • Right column: total hours worked and hour tracker for compensated employees.

  • Bottom of page: total hours worked per day and number of employees shifted.

  • Bottom right: total hours planned for the week.

  • Top right: schedule tools, print and publish. Find out more about schedule tools.

  • Performance indicators via the “graph” picto at bottom left. Find out more about performance indicators.

Click on the employee's name to go directly to the employee's file.

Please note: total hours per day and performance indicators depend on the filters applied to the schedule.


Week view by position

The week view by positions allows you to create and view the schedule structure by position.

Contents:

From this view, you can assign the same shift or absence to several employees at the same time, by selecting the desired employees directly in the shift.


How to use Day and Month views

Day view

Day view offers a more detailed approach to checking that the right employees are shifted at the right times.

Contents:

  • Top of schedule: number of employees scheduled per quarter-hour.

  • Center of screen: shifts for each employee per day, can be created/duplicated/moved/edited.

  • Right: total hours worked per day and per week per employee.

  • Top right: schedule tools, print and publish.

The number of hours displayed depends on screen resolution. Slide the bar at the bottom of the schedule to the right to see all hours.

Month view

The month view lets you create, edit and view the establishment's monthly schedule.

Contents :

  • Top: days of the weeks in the selected month.

  • Left: list of employees.

  • Center: employee shifts with schedules and alerts, with the option of modifying/creating/deleting shifts.

  • Between weeks : weekly employee trackers (hidden by default, click on the 2 arrows at the top of the column to display).

  • Right: total hours worked for the month and paid time off tracker (N-1 and N).

  • Bottom of schedule: total scheduled hours per day.

  • Bottom right: total planned hours for the month.

Days outside the selected period but included in a week of the selected period are displayed (e.g. if the month starts on a Wednesday, Monday and Tuesday are displayed but grayed out).

Move the mouse over a shift to see the position name, duration, meals taken and notes.
