Week views

From the Schedule tab in the "Week” view, in the left-hand column, two different views are available: the "Employees" view and the "Positions" view.

Week view by employees

The week view by employees is the default view when you access the week view. It allows you to create and display the schedule for each employee.

It shows:

  • In the left-hand column, the first and last names of the employees and the type of contract the employee has via the mention :

    • of the contractual hourly rate (e.g. "35h", "29h", etc.) for permanent contracts, fixed-term contracts, internship, etc.

    • "Custom" for customary fixed-term contract, temporary or interim.

    • "Day rate" for daily contracts.

    • If the employee is a minor, the word "minor" is displayed.

  • At the middle of the screen is the weekly schedule for employees, which can be created/duplicated/moved/edited. 👉 Find out more about creating shifts

  • In the right-hand column, information relating to the total hours worked and the hour tracker for compensating employees ("Total" and "Counters" columns)

  • At the bottom of the page, the total hours worked for each day and the number of employees shifted.

  • At bottom right, the total hours planned for the week.

  • At the top right, the schedule tools, including printing and publishing. 👉 Find out more about schedule tools.

  • Performance indicators via the "graph" icon at the bottom left of the screen

💡The employee's record can be accessed directly by clicking on their name 👉 Find out more about creating an employee

⚠️ The total hours per day and the performance indicators depend on the filters applied to the schedule.

Week view by position

The positions view allows you to create and display your daily structure, position by position.

It shows :

  • On the left, the different positions in the establishment 👉 Find out more about shift configuration.

  • In the middle on the screen, the shifts created are shown on the corresponding days of the week. Shifts can be created/duplicated/moved/edited from this view.

  • The number of employees assigned to the position on the day and the number of working hours allocated to it.

  • At the top right, the schedule tools, including printing and publishing.

  • At the bottom left, a "+" button allows you to add a type of absence activated in the establishment. 👉 Find out more about setting absences

⚠️ In this view, positions and employees are reversed in comparison with the "Employees" view.

💡 As in the "Employees" view, it is possible to publish and print the schedule in the "Positions" view.

💡 From this view it is possible to assign the same shift or absence to several employees at the same time by selecting the relevant employees directly in the shift:

Day and Month views

Day view

The day view offers a more detailed approach to the structure of the daily schedule down to the quarter-hour. It allows you to check that the right employees are being shifted at the right times.

It shows :

  • At the top of the schedule, above the hours: the number of employees scheduled every quarter of an hour.

  • In the middle of the screen: the daily shifts of each employee, which can be created/duplicated/moved/edited.

  • To the right of the schedule: the total hours worked per day by each employee and the total hours worked per week by each employee.

  • Top right: schedule tools, including printing and publishing.

💡 The number of hours displayed depends on the screen resolution. To see all the hours, move the slider at the bottom of the schedule to the right.

💡 With a premium subscription, you can enter your staffing need customized schedules. 👉 Find out more about the staffing needs option

Month view

The Month view lets you create, edit and view the establishment's monthly schedule.

It shows :

  • At the top, the days of the weeks in the selected month.

  • On the left, the list of employees.

  • In the middle of the screen, the shifts of the employees with their schedule and alerts if there are any.

  • Between each week, the employee's weekly tracker. By default, they are hidden, but you can display them by clicking on the 2 arrows at the top of the column.

  • To the right of the schedule: the total hours worked for the month by each employee ad the PTO tracker.

  • At the bottom of the schedule: the total hours scheduled per day.

  • Bottom right: total hours planned for the month.

💡Days that are outside the selected period but included in a week of the selected period are also displayed. Example: if the month starts on a Wednesday, Monday and Tuesday are displayed but are shaded.

💡 When you move the mouse over a shift, you can see the name of the position, its duration, the meal(s) taken and the notes.
