How to track documents sent for electronic signature on Skello?

Why is this important?

Once a document has been sent for electronic signature, you can track its status in two ways: from the employee's document area or from the document e-signature tracking area.


In the employee's document area

From the folder where the document is saved (e.g. Contracts), a signature status appears to the right of the line of the document sent for e-signature. This status indicates whether the document has been sent and is awaiting signature, or has been signed.

  • The document can be returned for signature if it has not yet been signed. Click on the three dots to the right of the line and select “Send for signature”.

    • The document will only be returned to those who have not yet signed.

Once signed, the sent document is replaced by the signed version, which can be viewed and downloaded.


From the electronic signature tracking area

A tracking area has been created to follow the electronic signature of several documents sent from the Employees tab.

  1. Click on the pen icon at the top right of the page to access it.

The tracking area appears on your screen and allows you to track each document sent with detailed information visible:

  • Signatory: the person or persons who must sign the document.

  • Document name: clear identification of the document sent.

  • Document folder: indicates which project or category the document belongs to.

  • Signature status: indicates whether the document has been signed, with the name of the person who signed it.

    • The signature status can be tracked in the signature column. There are three possible statuses:

      • An empty yellow rectangle 0/2: none of the signatories have signed the document yet.

      • A yellow rectangle 1/2: one of the two signatories has signed the document.

      • A green rectangle 2/2: both signatories have signed the document.

    • Hover your mouse over the circle to see who has signed the document.

  • Send date: to track how long ago the document was sent.

  • Reminder date: if applicable, indicates the last reminder sent to obtain the signature.

Actions that can be performed directly from the table:

  • Cancel sending: remove the document from the signature process if necessary.

  • Bulk resend: allows you to resend all unsigned documents for signature with a single click.

Filtering and advanced search:

  • Documents can be filtered by recipient, folder or signature status (filters can be combined).
