Why is this important?
Overtime hours can be compensated either partially or fully, in the form of additional salary or compensatory rest, referred to as Compensatory Time off. This system is defined by your collective bargaining agreement or company-level agreement.
When overtime is compensated through compensatory time off, it feeds into a dedicated Compensatory Time off counter balance, which can later be used to grant time off. The Compensatory Time off counter system applies to employees under hourly packages (with or without working time modulation), but excludes: casual staff (extras), part-time workers, and employees under day-based packages.
How to activate the Compensatory time-off counter?
Activate the counter:
Go to Establishment Settings > Rules and Counters > Counters.
Enable the “Compensatory Time off counter”.
How it works:
The counter increases manually, based on the number of overtime hours worked and their applicable premium.
How to configure Compensatory Time off counter?
Initialize the counters:
Upon activation, a setup window will prompt you to initialize the hour counters.
Select the employees eligible for compensatory rest.
Select the initialization week:
Choose the Sunday preceding the first week of usage. The initialization date must always be a Sunday.
You can update this date later in Employee Profile > History / Counters > Compensatory Time off counter.
Historical balance (optional):
Input any compensatory time offhours already accrued before the counter activation.
Use the “+” or “–” buttons to enter a positive or negative balance.
All fields must be filled in (enter “0” if there's no balance).
Use decimal format for hours (e.g., 4h30 = 4.5).
Validate activation:
Click Validate to activate the compensatory time-off counter for the selected employees.
⚠️ It is not recommended to deactivate the counter after activation, as it will erase all hour counter history. However, you can still manage activation employee by employee from their individual profile.
How to compensate overtime with compensatory time-off ?
Go to the Reports tab and select the desired period.
Click Manage Counters > Pay or compensate overtime with time-off.
💡 If you have employees with and without modulation, you'll need to perform two separate actions.
Overtime hours and any premium will be displayed. Enter, in decimal:
The number of hours to be paid in the “Hours to pay” column.
The number of hours to be compensated as compensatory time off in the “Hours to compensate in time-off” column.
Or click “Compensate all” to allocate all overtime hours (and premium) to compensatory time-off.
❗ You cannot allocate more hours (paid or RCR) than the actual number of overtime hours (including premiums) worked during the period.
To adjust the total number of overtime hours:
Reports > Manage Counters > Edit Overtime Counter
How to edit or (de)activate theCompensatory counter for an employee?
1. Edit the balance
Go to Employees > Counter History > Compensatory Time off counter..
Click Manual Edit and enter the number of hours (in decimal format) to add or subtract.
⚠️ This modification does not affect the overtime hours counter.
2. Activate or deactivate the counter
In the same section, select Initialize Counter or Deactivate Counter.
How to reset Compensatory counters at the end of a period?
Go to the Reports tab.
Click Manage Counters > Reset Counters.
Select “Reset Compensatory time off Counter”.
Choose the employees concerned and click Validate.
⚠️ This action is irreversible.
How to schedule RCR on the planning?
In Planning > Employee View, enable the “Compensatory Time off” column to view each employee's balance.
In Parameters > Absences, check that the absence “compensatory time-off” vérifiez is included in the hour tracker.
Add an Absence shift, and select the reason “Compensatory Time off”.
The Compensatory Time off balance will be automatically deducted.
💡 The displayed balance includes all compensatory balance acquired and used from the initialization date up to the Sunday of the currently displayed week or month.
