Skello is now connected to Payfit to help you streamline payroll preparation by automatically retrieving all the necessary data from our partner Payfit, thereby reducing the risk of errors and repetitive tasks. Your employees’ contractual and personal details are imported securely and in real time from Payfit to Skello, ensuring smoother HR management. Save time on low-value-added manual tasks and free yourself from the mental burden of double data entry.
Prerequisites
⚠️ Warning:
For each Skello establishment, you must have a corresponding establishment in PayFit.
Once the connection is established, all data synchronised and stored in PayFit will be automatically transferred to Skello and will overwrite the existing data.
Before connecting, it is essential to check that the information in both systems is consistent.
Personal details
The required information for enabling employee data transfer from PayFit to Skello is:
Social Security number — first matching criteria.
Email address — used as a second resort for identification attempts.
⚠️ The work email address provided in PayFit is used as the primary contact. If no work email address is provided, the personal email address will be used instead. Please ensure that this is the email address the employee will use to access Skello.
Note: Data from Payfit will override data from Skello if they differ, unless the field is empty in Payfit.
Which fields will be populated in Skello from Payfit?
An employee can only be synchronised in Skello if they have an active contract in PayFit.
Once the connection is activated, Skello automatically retrieves a set of essential HR details from PayFit. This data is transmitted securely and updated regularly.
Here is the information exchanged between the two tools:
Personal details: First name, Surname, Birth name, Date of birth, Country of birth, Nationality, Gender, Address, Postcode, Town/City, Country, Email, Telephone, National Insurance number, IBAN, BIC
Contract information: Employee payroll number, Contract type, Job title, Contract number, Contract start date, Contract end date, Archive date.
Instructions
⚠️ The PayFit x Skello connection is done per establishment. You will need to connect each PayFit establishment to its corresponding Skello establishment.
On Skello:
Go to: Settings > Organization settings > Integrations > HRIS Software
Activate the connection using the button in front of the PayFit logo. You will first be able to preview all the data that will be transferred from PayFit to Skello. These elements are not editable.
Click “Connect to PayFit” and enter your login details.
4. Select the PayFit establishment to connect to the corresponding Skello establishment (only if you have multiple establishments).
Skello will then begin configuring both spaces. Once the connection is ready, return to Skello and click on ‘Synchronise data’.
Skello will display a summary of the data detected based on the mandatory information listed in the Prerequisites.
Possible synchronization results
There are three possible outcomes:
The employee exists in PayFit but not in Skello → they will be suggested for creation in Skello.
The employee exists in both PayFit and Skello → they will be suggested for update based on PayFit data.
The employee does not have the required minimum information to match Skello fields → they cannot be synchronized.
In this case, you have two options:
Proceed with the synchronisation anyway: you can fill in the missing data directly in PayFit; a new synchronisation attempt will be made automatically within 3 hours. If the information is still incomplete, an error report will be sent to you.
Exit the process and correct the issue immediately: close the window, click ‘Disconnect PayFit’, fill in the missing information, then reconnect.
You will have access to an overview table based on the information detected in PayFit. It shows which employees are likely to be created or updated in Skello, but does not guarantee that the action will be successful.
For example, an employee displayed as “to be created” may still fail during synchronization (e.g., the email address already exists in Skello for another employee).
Data updates
Once synchronisation is complete, the data will then be updated automatically every 3 hours from PayFit to Skello.
However, you can still synchronise the data manually at any time via your organisation settings on the **Integrations** page, or via the Employees section of each of your planning spaces, in the top-right-hand corner.
The fields updated by PayFit will become read-only in Skello. Any changes must now be made directly in PayFit.
