How to connect PayFit to Skello?

Why is this important for you?

We know that many HR teams juggle between several tools to meet the different needs of their teams, which results in wasted time, re-entry errors, and a lack of overall visibility. 

Skello is now connected to Payfit, allowing you to simplify payroll preparation by automatically retrieving all the necessary data from our partner Payfit. This reduces the risk of errors and repetitive tasks. Your employees’ personal and contractual information is imported in real time and securely from Payfit to Skello for smoother HR management. Save time on low-value manual tasks and free yourself from the mental load of double data entry.

Prerequisites

⚠️ Warning: once the connection is established, all contractual and salary data stored in PayFit will automatically be transmitted to Skello and will overwrite existing data.

Before connecting, it is essential to verify that the information present in both tools is consistent.

The required information for enabling employee data transfer from PayFit to Skello is:

  • Social Security number — second matching criteria.

  • Email address — used as a last resort for identification attempts.

Note: Payfit data always replaces Skello data if different, unless the field is empty in Payfit.

Which fields will be populated in Skello from Payfit?

Once the connection is activated, Skello automatically retrieves a set of essential HR information from Payfit. This data is securely transmitted and regularly updated.

Here is the information exchanged between both tools:

Personal information: First name, Last name, Birth name, Date of birth, Country of birth, Nationality, Gender, Address, Postal code, City, Country, Email, Phone number, Social Security number, IBAN, BIC

Contract information: Employee payroll ID, Contract type, Job title, Contract payroll ID, Contract start date, Contract end date, Contract ID, Working hours, Archiving date

Instructions

⚠️ The PayFit x Skello connection is done per establishment. You will need to connect each PayFit establishment to its corresponding Skello establishment.

On Skello:

  1. Go to:

    Settings > Organization settings > Integrations > HRIS Software

  2. Activate the connection using the button in front of the PayFit logo. You will first be able to preview all the data that will be transferred from PayFit to Skello. These elements are not editable.

3. Click “Connect to PayFit” and enter your login details.

4. Select the PayFit establishment to connect to the corresponding Skello establishment (only if you have multiple establishments).

Skello will then start configuring both environments. Once the connection is ready, return to Skello and click “Sync data”.

Skello will display a summary of the data detected based on the mandatory information listed in Prerequisites.

Possible synchronization results

There are three possible outcomes:

  1. The employee exists in PayFit but not in Skello → they will be suggested for creation in Skello.

  2. The employee exists in both PayFit and Skello → they will be suggested for update based on PayFit data.

  3. The employee does not have the required minimum information to match Skello fields → they cannot be synchronized.

    • In this case, you have two options:

      • Continue synchronization anyway: you can complete the missing data directly in PayFit; a new synchronization attempt will be automatically made within 3 hours. If the information is still insufficient, you will receive an error report.

      • Exit the process and correct immediately: close the window, click on Disconnect PayFit, complete the missing information, then restart the connection.

You will have access to an overview table based on the information detected in PayFit. It indicates employees likely to be created or updated in Skello, but does not guarantee the action will be successful.

  • For example, an employee displayed as “to be created” may still fail during synchronization (e.g., the email address already exists in Skello for another employee).

At the end of each synchronization, including future automatic synchronizations, you will receive a detailed report listing employees for whom errors were encountered.

Data updates

Once synchronization is complete, updates will occur automatically every 3 hours, from PayFit to Skello.

Fields updated by PayFit will become non-editable in Skello. Any changes must now be made directly in PayFit.
