Candidate sourcing

This article explains how to add candidates in JOIN, either by adding them manually or by using the Chrome extension for LinkedIn. Available on desktop only.

Candidate sourcing

Candidates can appear in your JOIN account in three ways:

  1. Automatic addition – When a candidate applies to your job via a multiposting platform (e.g. job boards), their application is automatically added to JOIN.

  2. Manual addition – You add a candidate yourself via the Applications tab or directly in a job's Applications sub-tab.

  3. Addition via the Chrome extension – You import candidates directly from LinkedIn using the JOIN Talent Sourcing Chrome extension.

This article focuses on the last two options: manual addition and addition via the Chrome extension. If you received an application outside of JOIN (e.g. by email, through a referral or via LinkedIn), you can manually add the candidate to your job to keep your pipeline complete and centralised.

Adding candidates directly to JOIN lets you:

  • Centralise all candidate data in one place

  • Avoid losing promising profiles found outside of job boards

  • Track how candidates were added (manual, referral, LinkedIn, etc.)

  • Stay GDPR-compliant thanks to automated consent management

  • Move added candidates through the same pipeline as other candidates


Adding a candidate manually

Manual addition is useful when you've received a CV outside of JOIN, for example through referrals, events or your network. Once added, the candidate appears in your Applications tab for the relevant job and can be managed like any other candidate.

Add from the Applications page

  1. Go to the Applications tab

  2. Click the Active sub-tab

  3. Click Add application at the top right

  4. Select Add manually from the dropdown menu

  5. In the Add candidate pop-up window:

    • Enter the candidate's email address, then click Continue

    • Fill in the required fields: First name, Last name, Source (how the candidate found you)

    • You can also add: Phone number, CV (PDF, DOC, DOCX, TXT or RTF), Cover letter

  6. Click Continue to finalise submission

As soon as they are added, the candidate automatically receives a consent request email. You can customise this email in Settings > Email templates.

Add from a specific job

  1. Go to the Jobs tab and select the relevant job

  2. Click the options menu at the top right

  3. Hover over Add application, then select Add manually

  4. Follow the same steps as above to complete the candidate form

Manually added candidates carry the Manually assigned tag and their consent status is shown in the application view.


Adding via the Chrome extension

The Chrome extension lets you import candidate profiles directly from LinkedIn into your JOIN ATS.

The extension only works on LinkedIn profiles. It does not activate on other websites.

Accessing and installing the extension

You can access the Chrome extension setup from three places in JOIN:

  • The Applications tab > Add application > Chrome extension

  • The options menu of any job > Add application > Chrome extension

  • The Settings tab > Chrome extension (at the bottom of the sidebar)

  1. On the Chrome Web Store page, click Add to Chrome.

  2. Confirm by clicking Add extension.

  3. You'll be asked to sign in to JOIN and open your LinkedIn account to connect the extension.

  4. Once set up, you can open any LinkedIn profile: the JOIN widget will appear on the right side of the page.

Importing a candidate from LinkedIn

  1. Go to the LinkedIn profile of the person you want to add as a candidate.

  2. Click the Add talent button that appears when you hover over the JOIN extension widget.

  3. If the LinkedIn user has made their information public, the widget automatically retrieves information such as: name, email, phone number, LinkedIn URL, location. If some of this information is not public, the relevant fields will remain blank. If no email address is available, you'll be asked to add one manually before continuing.

  4. Select the relevant job from the dropdown menu. If you have no active jobs, the widget will ask you to create one before continuing.

  5. Click Import.

  6. If the import succeeds, you'll see a confirmation screen. If the candidate already exists for this job, a message will be displayed. If the import fails, an error message is displayed and you can try again.

  7. Once imported, the candidate is marked in JOIN as Added via Chrome extension.

A consent request email is automatically sent to candidates added via the Chrome extension. Once candidates have given their consent, you can process and manage their application in JOIN.
