Applications overview and filters

Whether you're managing one candidate or hundreds, learn how to find, sort and view your applications efficiently using filters, search and display settings. Available on desktop only.

Applications overview

In JOIN, all incoming applications are grouped into three sub-tabs under the Applications tab:

  • Active: applications currently in the Pre-screening, Qualified or Offer hiring status

  • Hired: applications marked as hired

  • Rejected: applications that have been rejected

You can view and manage these applications from the Applications tab in the sidebar. Each view gives you access to search tools, filters, sorting options and customisable columns.


Applications table

Each application is shown in a structured table with sortable columns. This is ideal for reviewing candidates and moving them forward in your pipeline.

Here's a breakdown of what you'll see in the applications table:

  • Name: shows the candidate's name and profile picture. Click the name to open the candidate profile. Use the checkboxes to select one or more candidates for bulk actions.

  • Applied for: the job title associated with an application.

  • Stage: shows the application's current pipeline stage. You can update it using the dropdown menu.

  • Job location: the location assigned to the job the candidate applied to.

  • Email: the candidate's email address.

  • Application date: the date the application was submitted or added to the account.

  • Candidate country: shows the candidate's country if they provided it in the application form.

  • GDPR status: indicates whether consent has been requested or given. If candidates are added manually or via the Chrome extension, JOIN automatically sends a consent request.

  • Source: indicates where the application came from (e.g. Manually imported, Talent Pool or Chrome extension).

  • Tags: the tags assigned to the application. Click the tag icon to view or add more.

  • CV: if a CV is available, click to view or download it.

  • Actions: includes a quick reject button and a More options menu. You can click it to open additional options such as Copy email or Download CV.

Use the pagination controls at the bottom of the table to display 10, 25, 50 or 100 entries per page. You can scroll the applications table horizontally to see more columns or vertically to see more rows. The Name column is fixed and remains visible while scrolling.


Search and quick filters

You can quickly find specific applications in two main ways:

1. Global search

Use the search bar at the top of the main menu to search for a candidate's name from anywhere. You can also press Cmd + K (Mac) or Ctrl + K (Windows) to open search.

2. Search within the applications table

On the Applications page, use the search icon at the top right of the table to search for a candidate directly within the current view.


Using filters

Use filters to narrow down your list of applications by specific criteria. Click the Filters button to open the full list of available filters. You can apply one or more filters at the same time. Click anywhere on the screen to close the dropdown.

To the right of the Filters button, you'll see two quick-access filter dropdown menus:

  • Job: filters applications by job title

  • Job status: filters by the job's publication status (e.g. Online, Offline, Archived)

Available filters

  • Hiring status: filters by application stage: Pre-screening, Qualified or Offer

  • Application source: filters by the origin of the application, such as Imported, Talent Pool, JOIN Chrome extension, etc.

  • Application tags: filters by tags added to candidates

  • Candidate country: narrows applications by candidate location

  • Application date: use the date picker to choose a specific day or period

  • Job: filters by all jobs the user has access to

  • Job status: filters by status, including Online, Offline and Archived

  • Job location: filters by the locations assigned to jobs

Every time you select a filter, the table updates automatically. Filter buttons turn blue once applied and show the number of selected options.

Resetting filters

All filters work independently and remain applied as you navigate between application sub-tabs.

There are several ways to reset filters:

  • Click a blue filter chip, then click Reset filter to remove only that filter.

  • Open the Filters menu, then click Reset all filters at the bottom to clear everything.

  • If no results are found, you'll see a message stating No matching results along with a Reset filters button to quickly start over.

The Filters button turns blue when filters are active and grey when they are removed.


Customising the table view

You can customise your applications table by adjusting the visible columns and sorting options.

  1. Click the settings icon (top right of the table).

  2. Under Visible data, enable or disable the fields you want to display. Available columns include: Applied for, Stage, Job location, Candidate country, GDPR status, Source, Tags, CV.

  3. Enable or disable the columns you want to see. The Name column is fixed and cannot be hidden.

  4. Reorder columns by dragging the six-dot handle next to each visible column.

  5. You can also sort applications by different fields under Sort by: Name (A to Z / Z to A), Application date (Most recent first / Oldest first).

Customising your view lets you reduce visual clutter and focus on the most relevant candidate information.


Managing applications

JOIN offers several ways to act on applications directly from the table view.

  • Update the pipeline stage: use the dropdown menu in the Stage column to move candidates forward in your pipeline.

  • Add or edit tags: click the icon in the Tags column to open the tag manager. You can add new tags or remove existing ones.

  • Reject: click the reject icon in the Actions column to quickly reject a candidate.

  • Perform bulk actions: use the checkboxes to select several candidates and perform actions from the toolbar at the bottom. Options include: Add tags, Reject, Export, Delete applications.
