Candidate profile

Learn when a profile is created, what you can do from it and how to navigate its different sections. Available on desktop only.

The candidate profile gives you a complete view of a candidate's personal information, application history, exchanges and progress through your hiring pipeline.

A candidate profile is created automatically when someone applies to a job via JOIN or is added manually by a team member. It brings together everything you need to know and manage about that person, including their contact details, CV, exchanges, assessments, interviews and all linked applications.

This profile lets you:

  • Track a candidate's journey across different jobs and stages

  • Communicate with them via JOIN Messaging

  • Schedule interviews

  • Send assessments

  • Evaluate with scorecards

  • Assign or reassign candidates to other jobs

  • Add candidates to your Talent Pool

  • Leave internal notes and apply tags

You can access a candidate profile by clicking a candidate's name anywhere in JOIN.

Candidate vs application: remember that a candidate can have several applications for different jobs. The profile view brings together all linked applications under a single candidate.


Candidate profile structure

The candidate profile is divided into three main sections:

  • Left panel – Candidate details and documents

  • Central panel – Summary and candidate-related tabs

  • Right panel – Applications, pipeline stage, quick actions, notes and tags


Personal information and documents

The left panel displays personal information and gives quick access to certain key actions:

  • Candidate summary: photo or initials, name, source and profile creation date

  • Quick actions: Compose email, Add to Talent Pool, + button for Interview, Scorecard, Assessment, Assign job

  • Personal information: email address, GDPR consent status, location, phone, LinkedIn

  • Documents: CV, cover letters, other files. Click to preview or download. If no document has been uploaded, an Upload a document prompt is displayed.

  • Candidate review: chevron navigation ‹ x candidates › to browse profiles one by one.

If a candidate has applied to several jobs and submitted several documents, only the most recent CV is displayed.


Applications summary and actions

The central panel helps you manage the candidate's journey. You can navigate between the following tabs:

  • Summary: upcoming interviews, pre-screening questions, scorecard summary, assessments

  • Emails: full email history with the candidate in chronological order

  • Interviews: manage all interview scheduling for the candidate

  • Scorecards: list of scorecards, the interviewer who submitted them and the decision selected

  • Assessments: track all technical or behavioural assessments assigned to the candidate

  • Documents: view all documents uploaded by the candidate

  • Activity log: full timeline of all actions related to the candidate (stage moves, rejections, notes, interviews, etc.)


Job management and collaboration

The right panel is divided into three collapsible sections:

Jobs

Shows all jobs the candidate is currently assigned to. Each entry includes the job title, pipeline stage and job status. You can:

  • Assign the candidate to an additional job via the + button

  • Move the candidate through the pipeline via Advance or the dropdown menu

  • Reject the candidate for a specific job via the reject icon

Once a candidate has been rejected from all their applications, they are no longer considered an active candidate and you can no longer send messages or schedule interviews.

Tags

Use tags to label candidates (e.g. "great fit", "needs follow-up") and make filtering easier. Click Add tags... to open the dropdown menu. Tags are visible to all users on your account.

Notes

Notes let team members share feedback and collaborate. Click into the Add a note... field to write a note. Mention a colleague with @. Notes are timestamped and show the author's name. You can Edit or Delete a note, but only if you created it.

At the top of the right panel, the ... More button lets you Add to Talent Pool, Assign job or Delete candidate. Deleting a candidate is irreversible and permanently removes their profile as well as all associated applications, documents and activity logs.
