Talent pool

Save and organise promising candidates for future roles. Learn how to add, review, assign and manage them in your Talent Pool. Available on desktop only.

A Talent Pool is a strategic database of pre-screened talent, including both active job seekers and passive candidates, built for future hiring needs. It acts as a reservoir of relevant profiles, helping you fill open roles faster and more efficiently.

A Talent Pool helps you keep track of candidates who show potential, but who don't necessarily match your current open positions. Instead of losing touch, you can save their profiles and reach out again later when a suitable opportunity comes up.


Adding candidates to the Talent Pool

There are two main ways to build your Talent Pool in JOIN:

1. From a candidate's profile

  1. Go to the Applications tab

  2. Click a candidate to open their profile

  3. In the left panel of the candidate profile, click Add to Talent Pool

The candidate profile is then added to the Talent Pool tab for later use.

2. Via unsolicited applications

If you have enabled the option to receive unsolicited applications on your career page, JOIN will automatically send these applications to your Talent Pool. These are candidates who haven't applied to a specific job, but who are interested in your company. You'll receive an email notification when a new unsolicited application arrives.


Reviewing unsolicited applications

Unreviewed unsolicited applications appear in a floating banner at the bottom of the Talent Pool tab. Click Review to open the pre-screening view.

In the pre-screening view, you'll see: the candidate's CV and Cover letter (if provided), contact details, Candidate location, the source shown as Unsolicited application, and their motivation for joining your company.

From this view, you can:

  • Click Accept to permanently add them to your Talent Pool

  • Click Reject to delete their profile from your account

Rejected candidates are permanently deleted and cannot be recovered. Only reject candidates you're certain you don't want to keep. Use the navigation arrows to browse the list without leaving the pre-screening view.


Talent Pool tab

Click Talent Pool in the left sidebar to access all saved candidates.

Each row represents a candidate record with the following columns: Name, Email, Candidate location, GDPR status, CV, Tags, Action (assign the candidate to a job or remove them from the Talent Pool).

Only the Talent Pool profile is deleted. Any previous applications the candidate made to jobs remain intact.

Click the settings icon at the top right of the table to show or hide columns. Click the Filters button to narrow your search by Application tags or Candidate country.


Assigning candidates to jobs

Use the + icon in the Action column to assign a Talent Pool candidate to a job. A pop-up window appears with your active job postings. Select the job, then click Assign.

No automatic message is sent to the candidate. We recommend contacting them beforehand to confirm their interest.

Having a curated group of promising candidates means you don't have to start from scratch every time a job opens. Instead of searching for new candidates, you can immediately reach out to those already in your Talent Pool.

Finding candidates you've already rated positively

Instead of losing touch with excellent candidates who simply weren't the right fit for the role at the time, the Talent Pool helps you keep their information and reconsider them later.

Improving hiring quality through highly interested profiles

Candidates added to the Talent Pool are often people your team has already rated positively. They have already shown interest in your company or roles, which generally makes a new outreach more engaging.

Manually sourcing candidates on job boards or LinkedIn can take hours. With a Talent Pool, your best profiles are already organised and searchable — there's no need to redo this work.

Talent Pools aren't limited to former candidates. You can also include high-performing interns, referrals, and candidates met at events or contacted via LinkedIn.

In tight labour markets, hiring can be unpredictable. A well-maintained Talent Pool gives you a competitive edge and lets you act quickly when a suitable role opens up.


FAQ

What is the difference between a Talent Pool and job applications?

Talent Pool profiles are saved candidates who are not linked to a specific job. Job applications are submissions made for a specific role. A candidate can exist in both.

Are candidates informed when I add them to the Talent Pool?

No, candidates are not informed when they are added to the Talent Pool. We recommend contacting them directly if you plan to reach out again later.

Can I assign a Talent Pool candidate to several jobs?

Yes, you can assign a Talent Pool candidate to several jobs if relevant. Each assignment creates a separate application for that job. You can see all assigned jobs in the right panel of the candidate profile.

What happens if I reject an unsolicited application?

The candidate's profile and data are permanently deleted from your account and cannot be restored. Only reject applications you're certain you don't want to keep.

Can I edit a candidate's information in the Talent Pool?

Candidate profiles reflect the information provided by candidates. You cannot manually edit their personal data, but you can add tags and notes for internal use.

Do I need to separately delete a candidate from the Talent Pool after deleting them from Applications?

No. When a candidate is deleted from Applications, they are automatically also deleted from the Talent Pool.

Can I manually import a candidate from an external source into the Talent Pool?

No, you cannot manually import an external candidate directly into the Talent Pool. To do this, you must first import the candidate into Applications and assign them to a job. You can then add the candidate to the Talent Pool from their candidate profile.
