Setting the rules for the time clock

This article explains how to set up the time clock once the application has been installed on your tablet

💡You can access your time clock settings when logging on Skello on your computer. General settings ⚙️ > Time clock rules OR from the La Badgeuse application, installed on the tablet (accessible with a manager login + location pin).

💡 This is where you will find the PIN code of the establishment's time clock, enabling you to monitor employee arrivals and departures from the tablet.


General settings for the time clock

The general settings of the time clock are used to define which working hours are taken into account for the payroll (paid shifts), between scheduled shifts and shift punches.

Examples are used to illustrate the practical application of these parameters :

  • If John was supposed to clock in at 8AM but arrives at 8:10AM, I want to count 8AM If the employee clocks in late = the time of arrival on the paid shift corresponds to the time of arrival on the scheduled shift. The fact that he is late will not be taken into account.

  • If John was supposed to clock in at 8AM but arrives at 7:55AM I want to count 8AM If the employee clocks in early = the time of arrival on the paid shift corresponds to the time of arrival on the scheduled shift. The fact that he came in early won’t be taken into account.

💡If these options are not activated = the arrival time on the paid shift corresponds to the shift punch of the employee.

  • If John was supposed to clock out at 6PM but leaves at 6:10PM, I want to count 6:10PM If the employee finishes his shift later than planned = the departure time on the paid shift corresponds to the departure time on the punched shift. The fact that he worked more than scheduled will be taken into account.

  • If John was supposed to clock out at 6PM but leaves at 5:55PM, I want to count 5:55PM If the employee badges his departure earlier than planned = the departure time on the paid shift corresponds to punched shift. The fact that he worked less than scheduled will be taken into account.

💡If these options are not activated = the departure time on the paid shift corresponds to the scheduled shift time.


Tablet settings

The settings for the tablet are related to the settings in the time clock rules. Here under are the different options that you can put in place :

Punches

When employees have to sign in at a second location, you can choose where the punches will be taken into account :

  • Punches will automatically sync in the location where the employee punched at arrival. Once the tablet and online have synchronized, the employee's arrival and departure times can be tracked from the time clock tab of the secondary location where the employee punched in.

  • Punches will automatically sync with the employee’s main location : after synchronisation of the tablet and online, the employee's arrival and departure time can be tracked from the time clock tab of the employee's main location even though the employee has clocked in at his secondary location.

⚠️ The employee has to clock in and clock out on the same tablet and at the same location.

⚠️ To allow employees to clock in at a secondary location, this option must be activated in the location’s general settings.

Location settings ⚙️ > General settings ⚙️ > Employees can sign in off-site (at the bottom of the page).

Frequency of punches

When several shifts are scheduled in a row (without interruptions or breaks) on the same day, employees can punch in :

  • At the start and end of each shift(s): the employee punches several times during the day, to keep track of the start and end of each shift.

  • At the start and end of a series of shifts: if there are several shifts in a row, employees can only clock in and out.

⚠️ The break is included in the shift. If there is a break between shifts, the employee must clock in and out.

Delays, breaks & checks

There are several rules that can be determined as well as determining the paid shifts :

  • Notify me by SMS if an employee is late after - minutes : if the shifted employee is late or absent, the manager is informed by SMS. You can choose which scheduler(s) receive(s) this notification from the tablet settings.

⚠️ This option will only work if :

  • The tablet is regularly synced with internet to detect if an employee is late

  • The manager's mobile phone number must be entered in the employee file

  • Only standard or advanced planners (level of permission) will receive the SMS

  • If the manager is on leave on the schedule, he or she will not receive the late SMS.

  • Authorize breaks : if this option is activated, employees can clock out and clock back in when a break is scheduled on their shift

⚠️ Time between 2 shifts are not considered as breaks: they must clock out as a departure and clock back in when they start another shift

⚠️ If this option is not activated : the punch of the employee will automatically be considered as the punch of departure if the employee clocks out to go on break.

  • Take a photo when signing in

  • My employees must sign when they clock in/out

⚠️ These last two options cannot be activated at the same time: either the employee must sign when clocking in/out or a picture is taken when clocking in/out.

💡 The process of taking photos of your employees to check their attendance at work through time clock system is considered as an excessive data collection by the CNIL. That’s why we suggest that you ask for their signature instead.
