How to prepare my monthly payroll with Skello?

Why is this important?

In order to prepare the payroll each month with accurate and reliable data, Skello offers specific guidance on the various tabs: employees, schedule and report. Understanding how to use these functions ensures accurate and efficient payroll preparation.


What needs to be done in the Employees area?

Certain HRIS information is required in the Employees area to obtain a complete payroll report. Skello allows you to quickly identify whether certain employees have an incomplete profile.


Steps to follow:

  1. Display incomplete profiles:

    • Click on View in the purple box at the top left of the employee list. Employees with incomplete profiles appear in the list.

    • By clicking on Exit, you can return to the list of all active or archived employees in the establishment.

  2. Select employee profile:

    • The profile automatically opens to the category that needs to be completed: Personal information, contractual data or HR file. Missing data is highlighted in purple.

    • If several categories need to be completed, the employee profile opens on the Personal Information page. The categories to be completed are highlighted with a purple dot. Click on each category to view the missing data.

What can I do from the schedule?

Update and lock the week

When a week's schedule is updated with employee hours worked and absences, it is possible to lock the week for payroll purposes.

  1. Lock for payroll:

    • Click on the three dots at the top right of the schedule.

    • Choose Lock for payroll from the drop-down menu.

    • When the period is locked for payroll, the establishment's system administrator is notified. He/she is the only person authorized to unlock the schedule and make changes.

What can I do from the report?

The Report tab gives you access to all the variables you need to prepare your payroll in a single document.


Payroll period selection

Once the pay period has been selected in the top left-hand corner of the Report page, there are two possible scenarios:

  1. Green padlock:

    • A green padlock appears next to the report period when all days in the period have been locked for payroll. This padlock confirms that the schedule data is up-to-date and can no longer be modified by managers. The report can be exported for employee payroll purposes.

  2. Highlighted in purple:

    • If not all the days in the period have been locked for payroll, a purple highlighted message appears. Click on View to see which weeks and days have yet to be locked for payroll. A purple dot also appears next to each week in the report to identify at a glance which weeks need to be locked.

Notification of managers

A pre-written e-mail is proposed for sending to one or more managers, encouraging verification of schedule data and validation through the payroll lock. Click on the blue Send e-mail button.

Exporting and locking the report

When all data is locked for payroll, the purple elements disappear and the lock turns green next to the payroll period.

  • 💡 The payroll report can be exported from the blue Export Options button.

  • Once the payrolls have been sent, the report can be locked in red to indicate to all administrators and managers that it should no longer be modified.
