How to activate, set up, change the settings for, and use the holiday tracker

With the holiday tracker, you can select which holidays you want to be “guaranteed,” keep track of the hours your employees have worked and/or taken off on holidays throughout the year, and automatically calculate any hours of compensatory time off they may have earned.

This article explains how to:

  • Activate and set up the holiday tracker

  • Modify the holiday tracker

  • Monitor holidays

ℹ️ Note: the holiday tracker and holiday customization are only available with the Premium plan.


Activating and setting up the holiday tracker

Go to Location settings ⚙️ > Rules > Trackers, then turn on the holiday tracker at the bottom of the page. 👇

Next, you must set which holidays you want to be “guaranteed” by clicking on the dropdown menu on the right, then defining how you want your employees to be compensated for each holiday (payment or compensatory time off.) Once you have finished adjusting these settings, you will find a summary on the “Trackers” tab in your location settings. 👇

The default list will only include the national holidays of the country where your establishment is located, but you can also add custom holidays to reflect local legislation.

To do so, click "Add a custom bank holiday" in the bottom left corner of the holiday settings window, and select the dates you wish to add. 👇

⚠️ You can only activate and/or change the holiday tracker settings for the current year. The holiday tracker settings cannot be modified retroactively.


Adjusting the holiday tracker settings

There are two ways to change the settings:

  • For the whole establishment

  • For specific employees

Changing the settings for the whole establishment

Go to Location settings ⚙️ > Rules > Trackers, then click on the pencil icon in the top right corner of the holiday tracker. 👇

This will open a window where you can make any necessary changes to the settings.

⚠️ Modifying the holiday tracker settings from the location settings will change all trackers, including any that may have been adjusted individually.

Changing the settings for a specific employee

You can also adjust the settings for one or more individual employees.

Go to your employee’s holiday tracker: Employee > History/Trackers > Holiday Tracker.

There, you can adjust the settings (guaranteed holidays and type of compensation) for the employee by clicking on the boxes in the table that you wish to modify.

⚠️ Modifying the holiday tracker settings from the location settings will change all trackers, including those that may have been adjusted individually.


Monitor holidays

Tracking holidays on the employee level

Go to the employee’s holiday tracker: Employee > History/Trackers > Holiday tracker.

Here, you can see the current status of your employee’s holiday tracker. 👇

ℹ️ In order to have a Holiday Tracker tab, your employee must:

  • Be linked to a primary establishment for which the holiday tracker has been activated

  • Not have a “Day rate,” “Extra,” or “Temporary” contract

Tracking holidays in the accounting report

On the “Report” tab, in the “Hours paid at a premium rate” column, you can find a breakdown of hours worked on holidays during the relevant period by placing your cursor on the appropriate row.

In the Excel file, you will find the same breakdown of holiday hours in these two columns.
